The terms contained in the offer letter, establish the contractual obligations of both learners and providers. Once the enrolment is accepted by Ace London School these terms and conditions become operational.

The tuition fee for your course will be as stated on the invoice you will receive from Ace London School. Students agree to pay the tuition fees on a proforma basis and once this is done an invitation letter will be sent. Airport transfers or accommodation will only be confirmed if all payment terms are met and proof of a successful visa application has been provided to Ace London School.

Course Entry Requirements

All courses at Ace London School have entry requirements: minimum age and educational entry qualifications.

If any information provided in the application is incorrect, Ace London School reserve the right to reconsider the application.

Ace London School is committed to protecting the privacy and security of personal information. This notice explains how we collect, use, store, and share personal data in line with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.


1. Personal Data We Collect
   The School may collect the following information from students, parents/guardians, staff, and website users:


  • Contact details (name, address, telephone number, email address)
  • Application and enrolment details
  • Attendance, academic progress, and assessment records
  • Financial information for fee payments
  • Technical data such as IP address and website cookies

2. Purpose of Data Collection
   Personal data is processed to:


  • Manage applications, admissions, and enrolments
  • Deliver education, training, and student support services
  • Communicate with students and parents/guardians
  • Manage safeguarding, welfare, and health & safety obligations
  • Comply with legal and regulatory requirements

3. Data Sharing
   We may share personal data with:


  • Government bodies such as the Education & Skills Funding Agency (ESFA) or the Home Office
  • Awarding and examination bodies
  • Service providers (IT, finance, legal, and safeguarding support)
  • Law enforcement agencies where required by law

We do not sell personal information to third parties.

    The data protection policy ensures that the school handles personal data in accordance with the General Data Protection Regulation (GDPR) and other relevant laws. 

  • Data Protection Principles Ensures that personal data is processed lawfully, fairly, and transparently; collected for specific purposes; accurate and up to date; and kept secure.
  • Roles and Responsibilities Designation of the Data Protection Officer (DPO), their role in overseeing data protection, and staff responsibilities.
  • Types of Data Processed Details on the types of personal data collected, including sensitive data like health or special educational needs (SEN).
  • Data Retention and Security: Clear guidelines on how long personal data is kept, how it is stored securely, and how it is disposed of.
  • Data Subject Rights: Information on how individuals (e.g., students, staff) can access, correct, or delete their personal data.
  • Breaches and Reporting: Procedures for reporting and managing data breaches in line with GDPR requirements.
  • Third-Party Data Sharing: When and how personal data can be shared with third parties, such as contractors, local authorities, or other educational institutions
  • Training and Awareness: How staff will be trained to comply with data protection requirements.



5. Your Rights
    Under UK GDPR, you have the right to:

  • Request access to the personal data we hold about you
  • Request correction of inaccurate or incomplete data
  • Request erasure of data where applicable
  • Restrict or object to data processing
  • Request transfer of your data to another provider (data portability)
  • Withdraw consent (where consent is the legal basis of processing)



6.  Safeguarding Policy 

 The safeguarding policy outlines how the school will protect children and young people from harm, neglect, and abuse. It ensures that the welfare of children is the priority in all activities. 

  • Safeguarding Statement Clear commitment to safeguarding children and promoting their welfare.
  • Roles and Responsibilities Designated safeguarding lead (DSL), deputy DSL, and their responsibilities.
  • Procedures for Reporting Concerns How staff, students, and parents should report concerns about safeguarding, including a clear escalation process.
  • Training and Awareness: How staff and volunteers will receive regular safeguarding training and updates.
  • Safer Recruitment: Processes to ensure that all staff, volunteers, and governors undergo appropriate checks (e.g., DBS checks).
  • Specific Safeguarding Concerns: Procedures for dealing with particular risks such as child sexual exploitation, online safety, peer-on-peer abuse, etc.
  • Partnerships with Agencies Clear communication and collaboration with local authorities, social services, and other safeguarding partners
  • Record Keeping Detailed procedures for maintaining records of safeguarding concerns, incidents, and actions taken.



7. Health & Safety Policy 

 A health and safety policy ensures that the physical environment of the school is safe for students, staff, and visitors, and that risks are minimized. 

  • Health and Safety Statement Commitment to providing a safe and healthy environment for all.
  • Roles and Responsibilities Identifies the health and safety officer, senior leadership team, and the responsibilities of staff members. 
  • Risk Assessment Procedures Regular risk assessments of the school environment, activities, and equipment, with a plan for addressing identified hazards.
  • First Aid: Provision of first aid training for staff and clear procedures for dealing with medical emergencies.
  • Emergency Procedures: Fire safety, evacuation plans, lockdown procedures, and the handling of medical emergencies.
  • Training Regular health and safety training for staff and a commitment to ensuring everyone understands their responsibilities.
  • Monitoring and Review How health and safety performance will be monitored, evaluated, and improved.

Fee Refund Policy

The School sets its tuition and course fees in advance of each academic year. Students are expected to meet their financial commitments in line with this policy.



1. Cancellation by the School


  • If the School cancels a course prior to commencement, students will receive a full refund of tuition fees paid.
  • If the School withdraws a course after it has commenced, a pro-rata refund will be calculated based on the proportion of the course not delivered.

2. Withdrawal by the Student

  • Withdrawal 14 days or more before the official start date: full refund of tuition fees, less any registration or administrative charges.
  • Withdrawal less than 14 days before the course start date: 50% refund of tuition fees.
  • Withdrawal after the course start date: no refund will be made.

3. Exceptional Circumstances
   In cases of serious illness, visa refusal, or other exceptional circumstances, partial refunds may be considered at the discretion of the Principal. Supporting evidence will be required.



4. Non-Refundable Charges
   The following are strictly non-refundable:


  • Registration fees
  • Examination and certification fees
  • Administrative charges of £150

5. Refund Process


  • Refunds will only be made to the original payer, using the original payment method.
  • Refunds will be processed within 28 working days of approval.

6. Deferral or Transfer


  • Students may apply to defer to a later course or transfer to another programme, subject to availability and approval.
  • Where a transfer is approved, any balance of fees paid will be applied to the new course.

Booking Changes

 

  • Booking changes incur fees as per the current price list.
  • Airport transfer cancellations/ changes must be emailed to recruitment@ace at least 72 hours before the scheduled arrival; otherwise, full charges apply.
  • Accommodation changes/ extensions are subject to availability and may incur extra charges.
  • If the preferred accommodation is unavailable, a suitable alternative will be offered.
  • Requests for accommodation changes/ extensions must be emailed to the admissions team and student support at least two weeks before the current booking ends.
  • Residential extensions may require a change of room/ building; home-stay extensions may involve a host change.
  • Students must cover transportation costs related to accommodation changes/ extensions.

Student Cancellation and Refund policy

 

  • To request a refund, please use our refund form here.
  • Course and accommodation fees are treated separately.
  • Refunds will only be made to the same bank account or credit card used for payment.
  • Cancellation notice must be emailed to recruitment@ace.
  • Failure to notify by email will result in full charges being applied.
  • For non-visa nationals, cancellations before arrival will incur a £150 administration fee.
  • EU students have the right to cancel under UK Consumer Contracts Regulations.
  • For visa nationals, refunds due to visa refusal will incur a £150 administration fee, provided an official refusal letter is submitted.
  • Visa refusal evidence must be received at least 72 hours before the course start date for a refund.
  • Accommodation cancellations within 14 days before arrival, or "no shows," will be charged in full, and additional charges may apply based on accommodation type.

UK Visas & Compliance (courses booked in the UK only)

 

  • It is the student's responsibility to obtain the necessary visa to study in the UK.
  • Students should consult the British Embassy or High Commission and refer to the UKVI website at gov.uk/browse/visas-immigration/ student-visas.
  • Ace London School complies with UKVI regulations and will share relevant information about student attendance and contact details.
  • Students must immediately report any changes in contact details or circumstances affecting their immigration status.
  • Restrictions apply to students from outside the EEA regarding working in the UK.
  • Students found violating these restrictions will be reported to the UKVI and asked to leave the school.
  • Students can take holidays only after completing 12 weeks of study and must comply with visa and attendance requirements.
  • The school will be closed on public holidays and during the Christmas period. No reductions will be made for public holiday closures, and seasonal supplements may apply.

Medical and Accident Insurance & Medical Treatment

  

  • All students must have appropriate insurance. Ace London School recommends travel-student insurance tailored to international students' needs.
  • By accepting a place at Ace London School, students consent to emergency first aid being administered by trained staff if necessary.
  • Ace London School and its staff are not liable for loss, damage, or injury to persons or property unless expressly required by law.
  • Students are liable for any damage to school property or accommodation facilities and must compensate for any loss.
  • Students must maintain respect for the property and well-being of others during their stay.
  • Ace London School will take appropriate action to address liability issues in accordance with legal obligations.
